Essential Job Duties:
Scope of Duties
This position is responsible for providing strategic leadership and direction in the management of resources within the Division of Academic and Student Affairs-specifically, administration, finance and budget, human resources and talent management, information technology, marketing and communications, development activities, and strategic planning. The position serves as an advisor to the vice chancellor and dean on all matters related to the above. The associate vice chancellor for strategic initiatives reports directly to the vice chancellor and dean and is a member of the vice chancellor and dean’s senior leadership team, participating in the planning, development, and implementation of the division’s priorities and activities.
Administrative Operations (40%)
- Provides oversight and accountability for DASA administrative operations (administration, finance and budget, human resources and talent management, information technology, marketing and communications, and development activities).
- Collaborates with DASA leadership and administrative staff to create and implement DASA strategic initiatives, operational policies, and procedures. Aligns administrative operations in collaboration with division lead for space and capital outlay planning. Determines best processes for achieving operational, procedural and policy success.
- Leads an effective, high-functioning, strategically aligned team of senior administrators, including assistant vice chancellor for finance, assistant vice chancellor for human resources, assistant vice chancellor for strategic marketing and communications, director of DASA Technology Services, and DASA’s Chief Development Officer.
- Leads and facilitates programmatic or infrastructure needs required by the division, providing optimal support to senior leaders, departmental directors and managers within the Division of Academic and Student Affairs.
- Researches and provides recommendations regarding the most cost-effective solutions to divisional needs. Interpret findings and provide recommendations for program improvements, implementation enhancement, and data usage tools to the VCD and campus stakeholders.
- Recommends and implements strategies to improve efficiency and effectiveness of operations.
Strategy and Project Management (40%)
- Facilitates and manages key strategic initiatives from inception to completion. Provides analysis and assistance in developing new initiatives and capacities to meet strategic goals. Scopes and implements special projects and strategic initiatives, taking the long-term strategic vision and short-term objectives into account. Provides oversight and ensures that necessary action plans and deliverables are completed in an effective, timely manner. Prepares reports and presentations as needed.
- Through analysis and collaboration, identifies trends within related data sets to assist the VCD and division leaders in identifying areas for programmatic improvement. Researches and analyzes pertinent data and presents appropriate recommendations reflecting the position of the Office of the Vice Chancellor and Dean.
- Develops annual priorities in collaboration with the DASA Senior Leadership Team and recommends resource allocations.
Partnerships and Relationship Management (20%)
- Builds and nurtures relationships and serves as a point of contact for key constituents to resolve complex issues and help move strategic priorities forward.
- Partners and develops strong working relationships with divisional and campus leadership to support the execution of key and joint initiatives. Interacts with members at all levels of the university community to define, advance and assess the work of the Division of Academic and Student Affairs.
- Performs duties of a confidential and sensitive nature. Acts as a liaison for and represents the VCD and DASA with various administrative offices, including but not limited to the Office of the Chancellor, the Office of the Provost, and other divisions, colleges, and departments on campus.
Other Work/Responsibilities:
- Other tasks and responsibilities may be assigned based on the needs of the organization and evolving priorities.
Minimum Experience/Education:
- Requires a relevant post-baccalaureate degree with a minimum of five (5) years of related professional experience in a leadership role OR a relevant bachelor’s degree with a minimum of seven (7) years of related professional experience in a leadership role.
Required Qualifications:
- Leadership experience with strong management skills and ability to lead individuals and teams.
- Proven experience providing high-level administrative and operations support to senior leadership.
- Demonstrated ability to set operational goals from strategic plans and lead direct reports to accomplish these strategic goals and initiatives.
- Demonstrated strong written and oral communication skills, including writing and speaking on behalf of the Vice Chancellor and Dean.
- Demonstrated high-level organizational skills with the ability to prioritize and multitask effectively in a fast-paced, detail-oriented and time-sensitive environment. Proven ability to anticipate the next steps and execute independently.
- Demonstrated ability to recognize situations that warrant initiative and move forward without hesitation, resolving issues, problems, or situations.
- Demonstrated ability to work collegially and collaboratively with a wide range of internal and external constituencies; develop and maintain productive relationships to facilitate effective collaboration on complex projects.
- Strong analytic, research, and problem-solving skills, with the ability to swiftly and accurately understand complex data and perform analysis.
- Detailed-oriented with demonstrated clear, strategic thinking and the ability to prioritize tasks and be flexible to switch tasks as priorities change and follow up with minimal direction.
- Demonstrated ability to manage stressful situations with tact and diplomacy and to use sound judgment and initiative, particularly as it relates to handling sensitive and/or confidential information.
- Ability to maintain a high standard of confidentiality, discretion, and judgment.
